Reservation Booking, Waitlists, and Cancellation Policy

Bellevue Badminton Club uses CourtReserve for court reservations, event registrations, payments, and waitlists. Members can review availability, manage permitted booking details, and cancel eligible bookings through the CourtReserve app or member portal.

Some events, classes, programs, and reservation types carry their own eligibility requirements, booking limits, payment terms, or cancellation restrictions, including noncancelable bookings. These terms will be disclosed before registration or payment and take precedence over the corresponding standard rules below, subject to applicable law.

Booking Options

Through CourtReserve, eligible members may:

  • Reserve an available court for their group.
  • Register for an available event or program.
  • Join an available waitlist when their preferred court time or event is full.
  • Update the players on an existing court reservation, subject to eligibility and payment requirements.
  • Cancel eligible bookings under the applicable cancellation policy.

Availability and booking privileges depend on membership status, reservation type, location, and event requirements. Membership does not guarantee a particular court or preferred time. Public bookings may carry different restrictions, as disclosed during booking.

Court Reservation Rules

Standard member court reservations may be made:

  • Up to 28 days in advance.
  • For one to three hours.
  • In 30-minute increments.
  • With at least two and no more than six players per court.

A seventh and eighth player may be added at check-in for an additional fee per person, regardless of membership status. Applicable nonmember guest fees are additional.

Every person playing must be included on the reservation. Additional player and guest charges must be paid before play.

Payment

Court reservations must be paid within 15 minutes of booking, using a valid credit card on file. Unpaid reservations will be automatically canceled by the system.

Review the location, date, start time, duration, court, players, and total charges before paying. Current prices are available through CourtReserve and BellevueBadminton.com.

The Sandwich Rule

Members may not create a reservation that leaves an isolated 30-minute gap on the same court between their reservation and another scheduled item, either before or after their reservation.

The sandwich rule is bypassed when a reservation is made with less than three hours remaining before its scheduled start. All other booking, payment, cancellation, and access rules remain in effect, but the booking may leave a 30-minute gap on the schedule. This allows more efficient court use so more members can play.

Changes to Existing Reservations

Once a reservation has been made, members may update the players on the reservation, subject to eligibility, capacity, and payment requirements.

Members may not shift a reservation earlier or later or change its time, location, duration, or court number. Those changes require cancellation and rebooking. Both transactions remain subject to availability, current prices, and applicable cancellation restrictions.

Making a replacement booking does not waive charges or restrictions associated with canceling the original reservation.

If a member edits any part of a reservation after a price change, the booking will be recalculated at the current rate. Any revised charge will be displayed before the edit is completed.

BBC may move a reservation to another court without notice when the reservation’s time, location, and price remain unchanged.

Front-Desk Assistance

The front desk may explain booking rules and provide authorized assistance, including permitted changes to the players on a reservation and additional-player registration.

The front desk may not be used to modify, edit, or adjust a reservation beyond what members are permitted to do themselves through the CourtReserve member portal. Staff assistance does not otherwise bypass booking windows, payment requirements, scheduling restrictions, or cancellation deadlines.

Promo Codes and Discounts

Promo codes may be applied only during the initial payment of an eligible reservation.

Promo codes cannot be applied:

  • After a reservation has been fully or partially paid.
  • Retroactively to an existing payment.
  • To extensions of reservations.

All other published conditions of the promotion also apply.

Event Registration

Participants must register and pay through CourtReserve before the event’s registration deadline. Registration windows, capacity, eligibility, and other requirements vary by event.

Late registration requires contacting the front desk and receiving confirmation of availability, eligibility, and payment. Arriving at the club does not guarantee admission to a full or closed event.

Registrations may not be transferred to another participant without BBC approval and completion of the applicable registration requirements.

Court Reservation Waitlists

When a preferred court time is fully booked, members may join an available reservation waitlist.

Joining a Court Waitlist

In the CourtReserve court scheduler view, look for the Waitlist option in the first column on the left. Members may join a court waitlist only for time slots that are fully booked.

When a Court Opens

All members on that waitlist are notified at the same time. Available courts are first come, first served. Members must return to CourtReserve, complete the reservation, and pay within the required payment window.

A notification does not reserve or hold a court. Joining a waitlist does not guarantee a reservation or give priority over other members.

If someone else books the court first, the remaining members stay on the waitlist and receive another notification if a court becomes available for that time again. The waitlist remains active until the requested time passes or the member removes themselves.

Leaving a Court Waitlist

Members who no longer need the requested time should remove themselves through CourtReserve. Leaving a court waitlist does not cancel any separately confirmed reservation.

Event Waitlists

When an event is full and a waitlist is available, eligible participants may join through CourtReserve. Joining the waitlist does not initially confirm registration or charge the event fee.

The process for filling an opening depends on how much time remains before the event starts.

Openings at Least 48 Hours Before the Event

When a cancellation creates an opening 48 hours or more before the scheduled start, the first person on the waitlist is automatically:

  • Registered for the event.
  • Notified of the registration.
  • Charged the applicable event fee.

No additional acceptance is required. Participants should join the waitlist only if they are prepared to attend and pay if automatically registered.

Openings Less Than 48 Hours Before the Event

When an opening occurs less than 48 hours before the scheduled start, all players on the waitlist are emailed.

Registration is then first come, first served. A participant must complete registration and payment to claim the opening. Receiving an email does not reserve or hold the spot.

Leaving an Event Waitlist

Participants who can no longer attend must remove themselves before being automatically registered.

Once a participant has been registered—whether automatically from the waitlist or by claiming an opening—the applicable event payment and cancellation rules apply. Removing a confirmed registration is a cancellation, not simply withdrawal from a waitlist.

Standard Cancellation Policy

The following policy applies to cancelable court reservations and organized-play registrations unless different terms were disclosed before payment.

Eligibility is measured from the scheduled local start time using the recorded CourtReserve cancellation or the time BBC receives the required late-cancellation email.

Notice before the scheduled startHow to cancelCredit or refund
24 hours or moreCancel through CourtReserve.Full credit to the CourtReserve account balance.
Less than 24 hours, but before the startEmail notice must be received at info@bellevuebadminton.com before the booking begins.50% credit to the CourtReserve account balance.
At or after the scheduled startCustomer cancellation or nonattendance. No refund or credit.

Not attending does not cancel a booking. A replacement booking, shortened visit, late arrival, or early departure does not by itself create a refund entitlement.

Refunds to the Original Payment Method

For an eligible cancellation made at least 24 hours before the scheduled start, a refund to the original payment method is available only when:

  • BBC receives a written request at info@bellevuebadminton.com within 28 days of the cancellation request; and
  • The credit issued for that cancellation remains entirely unused.

The corresponding account credit will be removed when the original-payment refund is processed.

The 50% credit for a late cancellation is not refundable to the original payment method, except where required by law.

Waitlist Withdrawals and Cancellations

Leaving a waitlist before a court or event registration is confirmed does not incur a booking cancellation charge.

Once a court is booked or an event registration is confirmed, the applicable cancellation policy applies. This includes event registrations automatically created from the waitlist.

Classes and Other Restricted Bookings

Class, program, and other special booking cancellation terms are identified with the applicable purchase. Do not assume that the standard court and organized-play cancellation schedule applies to a booking with separately disclosed terms.

When BBC Cancels

If BBC cancels a confirmed paid reservation or event, BBC will refund the full amount paid for that booking to the original payment method unless the customer prefers account credit. Customer cancellation penalties do not apply.

BBC is not responsible for finding or rebooking a replacement court or event. A permitted court reassignment that leaves the time, location, and price unchanged is not a cancellation.

These provisions do not limit mandatory legal rights.

Booking Do’s and Don’ts

Do

  • Review the booking details and any special restrictions before paying.
  • Book the court time and location actually needed.
  • Complete payment within the required window.
  • Keep the players on the reservation accurate and pay applicable additional charges.
  • Review waitlist notifications and confirm whether registration has occurred.
  • Leave waitlists promptly when no longer available to attend.
  • Cancel within the applicable deadline.
  • Book and pay for additional court time before continuing to play.

Don’t

  • Treat an unpaid booking or waitlist entry as a confirmed reservation.
  • Assume a waitlist notification holds a court or event spot.
  • Remain on an event waitlist if unable to accept automatic registration at least 48 hours before the event.
  • Shift a reservation earlier or later or ask staff to bypass booking restrictions.
  • Assume that booking a replacement cancels or refunds the original.
  • Apply promo codes after a full or partial payment.
  • Use an empty court or continue beyond booked time without authorization.

Booking Problems and Extraordinary Circumstances

If a genuine CourtReserve problem prevents an otherwise permitted booking change or cancellation, contact the front desk or info@bellevuebadminton.com promptly, before the deadline where possible. Identify the booking, explain the requested action, and retain available evidence.

BBC will use the documented time of a substantiated request to assess eligibility rather than a later processing time. A properly blocked action does not establish a system failure.

Members are responsible for planning around schedules, travel, finances, and weather. Difficulty reaching an otherwise operating club does not automatically create an exception to the cancellation policy. Extraordinary circumstances may be submitted to BBC for consideration, but discretionary exceptions are not guaranteed. Mandatory legal rights remain unaffected.

Prohibited Booking Behavior and Enforcement

Any booking behavior by a member that causes harm to BBC, disrupts club operations, or unfairly limits other members’ opportunities to book courts is prohibited. This includes, but is not limited to:

  • High volumes of court cancellations that disrupt court availability or club operations.
  • Making reservations with the intent to cancel rather than a genuine intention to use the booked court time.

Meeting an individual booking or cancellation deadline does not permit a member to engage in a harmful or abusive pattern of booking behavior.

BBC may review booking and cancellation activity to assess compliance. Breaking these rules may result in restrictions or suspension of booking privileges, or removal of membership privileges, subject to applicable law.
